Building column

I suggested this before a building column is needed in both receipts and invoices
we email receipts by building then tenant but having only tenants name makes it very time consuming
I ask for this in early 2014 or 2013 please consider this

Hi Brian,

If you don't mind my asking why are you doing this by building rather than all at the same time? In other words what's the advantage of doing this by building rather than sending invoices to all your tenants at the same time.

That being said please note that in the future we are looking at adding new Automations in future versions that will allow you to automate a number of tasks, including the ability to send out emails to your tenants (for example invoices and receipts, along with notifications, etc.) in the future. Although this isn't available in the current version we are expecting to greatly expand the Automations section of the software with each new version.

My problem comes mainly in receipts i am now managing 7 building accounts only and its easier to remember Apts numbers in a building that a tenants name specially when you have tenants paying on diff dates etc. Some tenants had requested that no invoice be emailed or posted and this is also done so i have to pick out by building which tenant gets an emailed,posted or none.
The Building Column in accounts saves everyone a lot of time and it will do the same in both invoices and receipts.
Please make this addition to your next version.

Hi Brian,

Please bear with me as I offer you a suggestion that may save you a lot of time and effort if it works.

Could you not instead select all the Invoices and Receipts in one step and then just unselect the specific few that ask not to have an invoice/receipt using the ctl-click option? I assume that the number that ask not to have a receipt and invoice are in the minority. Assuming this is the case then this could be done within minutes.

Also, and I'm only mentioning this in case you're not familiar with this functionality, but did you know that the tables with the software can be software by any column (where appropriate) by selecting the column header. This means that you can sort the invoices and receipts by tenant and then just select the few that don't want them in a matter of minutes. You can find more details and information on how to sort tables within the software in Section 8.5 of the user manual at: http://www.landlordmax.com/support/index.php?pg=kb.book&id=2

If this does not facilitate your efforts than please let me know. In any case I've added a feature request to include a new Building filter for invoices and receipts as well as a Building column. Having said that I can't officially promise anything but what I will say is that the more a feature is requested the more likely we are to implement it. I am experiencing a similar problem as Brian. When I go "suggested invoices", "scheduled invoices", or "invoices" tabs, I would like the option to sort by building address. The reason for this is that my buildings never change, however, the tenants do. I have my hard property files set up in numeric order by address but the only way to sort the invoice table is by tenant, so I am constantly going back and forth between properties.

Which brings me to another issue. On the tables where I can sort by property, like "building" the numeric sorting order seems to be only 1 or 2 digits deep.

For example, in LLmax "buildings" table they list as:

638 Third St
7 South Ave
802 Grant St
8050 Roswell Rd
810 Eastport

When I invoice my tenants, I also add their water bills to their invoice. So I normally would stack the water bills in numeric order by house number, then just go right down the list. With only being able to sort them by tenant, I have to try to remember which tenant is in which unit which requires A LOT of back and forth.

If there is a better way to do this I am open to suggestions. Thanks for your help, Heather

Firstly thank you for the feedback, it's always appreciated. We are very open to suggestions and in fact record every single request and suggestion and continually analyze them.

That being said you are correct that it sorts alphabetically only, however it does not sort by dept of numbers. In other words in alphabetical sorting numbers are before letters, it's as simple as that (there is no dept sorting). There are several reasons for this. And in fact we have done this for units in the past and it leads to all kinds of complex cases and issues/errors.

Ignoring that we've listened and in fact you can now sort as you expect in the Cloud Edition. You can do this because in the Cloud Edition you can select which columns will appear and what order the columns will appear in. In other words every single column and field is available. You can also sort by multiple columns at the same time, so building and then unit if you wish.

The following YouTube video we recently posted shows how you can select the columns you want to display as well as how to sort by multiple columns (say building first and then unit second): https://youtu.be/WIb3RLCHiOo Again in the invoices, suggested invoices, and scheduled invoices you can now have the software show the building, unit, etc. columns, and you can then sort by them. You're no longer limited to just the most commonly used columns.

In addition, and this is not yet available but it is something we're planing to add to the Cloud Edition, is the ability to do "quick edits" in the invoice and suggested invoice tables so that you can quickly add line items without having to open the entries. You can currently edit most values directly in the tables as shown in this YouTube video: https://youtu.be/g-UXQJUkCs4 however it's not possible to edit line items because that is a table within a table, and hence why we're looking to add a "quick edit' feature. Again this is not yet available but it is something we plan to add. In fact we're also looking to add functionality so that you can add any late payments to the current invoice, say last month's rent that has not yet been paid. Basically we're looking at ways to save you from having to edit the invoices and receipts where possible. These will be released in steps are part of our feature roadmap.

I have watched the video previously and it is true that in many tables you can sort by many different items. However, in invoices, suggested invoices, and scheduled invoices the options are limited to:

Invoice Date
Tenant
Landlord
Start date
End date
Amount

Those are the options for "suggested invoices" it varies for the others but I am definitely not seeing building as an option in any of invoice or receipt tables. Please advise. Thanks again.

Hi Heather,

Are you using the Cloud Edition? I ask because the ability to select the columns in all the tables is exclusive to the Cloud Edition and is not available in the previous installed installed editions like the Desktop Edition.

Yes. I am using the cloud edition. When I right click on the table as it says to do in the video, the only options I'm given are the ones mentioned earlier.

Hi Heather,

My apologies, I think I completely misunderstood the issue initially. Yes in that case the building and units are not available since an invoice is to a person and not a building and/or unit, hence the building and unit column are not available in the invoices table. In other words there is no building or unit to sort by for invoices.

That being said we are working on a feature which should greatly help alleviate this issue for you, where you will be to add all the accounting entries you want to the tenant invoices in a single step (select them and click an action), which will basically remove your need to manually edit the invoices each month. This is coming soon and is considered a very high priority. As in extremely high (actively being worked on). I don't have an official date but as I said we're actively working on it. We were hoping it would be the center piece of next email newsletter which is due any day but it looks like it will be the center piece of the next email newsletter if all goes well to give you an idea of timelines.

In the meantime could you possibly printout the tenant list sorted building and unit and then look them up that way? Please note that all reports can be customized and as such you can changed the sorting order of the reports.
