track mileage

Is there a way to track vehicle mileage associated with trips to properties? Would be very handy for deduction purposes, on in the event of an audit.

Hi Steve,

The software doesn't offer this. Generally you only see this kind of functionality in solutions costing many times the price of our Desktop Edition. Instead what we recommend is acquiring an app on your smartphone for tracking mileage. There are many many apps that do this and more, they are generally sold for anywhere from $1-$5 (some are even free), and they can take advantage of the GPS data on your phone to track the milleage and so on. You basically won't get anywhere near the same value as an app on your smartphone for tracking milleage.

No worries...I am THRILLED by the product...if I may suggest as you continue to improve code and add functionality, maybe add a box in the windows to add mileage values, if you so choose, that will total as the other items do. Just raw totals, no computational value. That way when I enter expense for supplies or even pick up rent, I have a choice (prompted by virtue of seeing it there) to add a mileage value involved in that particular trip, which I could use to "spit out" a total number at the end of that particular accounting cycle for each property. In my particular situation would be handy, and I think would satisfy IRS requirements (Crap shoot always). Based on the high quality of your product, I think this would be easy coding for you.

Besides, another feather in your cap when a prospective software buyer (or reviewer) is comparing products.

Having said all this, THE PRODUCT IS FANTASTIC ALREADY!!!!

It's really great to be able to share such positive comments with others!

I agree what you're saying is not that complicated, the issue is that we support a very large customer base, and as such we have to look at how any solution we implement would work for everyone. For example what you're describing would be good enough for you, but for other people it needs to be a lot more. And there are of course exceptions, etc. What happens if you make multiple stops? How do you later find the amount for a specific mileage entry if it's not displayed in the Accounting table because it's a subset of the data? And if you display it in the table then how so that the amount is not confused with say the rents, etc. As you can quickly see it's not so much the programming part it's the UX aspect that gets very complicated, at least if you want to handle it in a way that will work for everyone in every situation.

That being said, if all you want is a total dollar amount for the milleage then you can do that right now in the software. You can create a new Accounting Entry and assign it to a custom Category that you create called "Milleage" which you then assign the Accounting Category to. As you can also assign buildings, accounts, etc. to any Accounting Entry you can then run reports for the Category "Milleage", you can even run the report "Accounting entries for a category for a landlord" which will give you all the entries for that landlord. Basically you have some options here, and even if there isn't a perfect report, you can always export the report as a CSV file which you then open up in an Excel spreadsheet and customize exactly as you need and want.

First...yes.

Second.....No...I am not the brother in law of the founder (not a compensated endorsement).

Third....understand completely....but I am married to a programmer and I know how 'they' think. This will bother you (appeal to your obvious skill set), so I am going to say "I told you so" when you do a mileage feature in the future. You will not be able to stop yourself. Use the force.

Ok...OK...not funny. My accountant was thrilled with the generated report format I handed him for each building. I know they could have been sent electronically but I like the face time handing them in person. And if any prospective buyer is actually still reading this, the bar chart presentation in the reports section is a marvelous representation of how property is actually doing. Your suggestion on a "mileage category" should work well.

3. You may be right.. I definitely added your suggestion to our Idea Initiative Program which is used to monitor the number of requests for each feature. Although I can't promise anything, what I will say is that the more a feature is requested the higher it's chances are of making it into the software.

On a personal note I do want to thank you for the wording, I enjoyed the perspective and the humour!
