Depending on the type of <strong>Building<\/strong> you may be adding just one <strong>Tenant <\/strong>or it could be many <strong>Tenants<\/strong>. For the purposes of the quick start guide we&#8217;re going to go over the simplest case which is adding a single <strong>Tenant<\/strong>. From there, select the <strong>New <\/strong>option from the right menu the same as for the Building.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In the bottom portion of the screen, there are many sub sections in which information concerning the tenant can be recorded. Please note that data in sub sections such as the Accounting, Vendors, Workorders, Invoices, Receipts, and so on are cross linked to other sections of the software. So for example if you have Accounting Entries in the main accounting section of the software that are assigned to the Tenant that they will also appear here. And similarly if you edit any of the Tenant&#8217;s Accounting Entries that these changes will be reflected in the main accounting section.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>** TIP:<\/strong> When the Building is selected, the address for the Tenant will be automatically filled according to the Building information previously entered above. This data can be overwritten by simply typing in the values in the appropriate fields if they are different then the Building.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"650\" height=\"641\" src=\"https:\/\/www.landlordmax.com\/knowledgeBase\/wp-content\/uploads\/2024\/09\/saveTenant.png\" alt=\"Tenant status and save the tenant\" class=\"wp-image-712\" srcset=\"https:\/\/www.landlordmax.com\/knowledgeBase\/wp-content\/uploads\/2024\/09\/saveTenant.png 650w, https:\/\/www.landlordmax.com\/knowledgeBase\/wp-content\/uploads\/2024\/09\/saveTenant-300x296.png 300w, https:\/\/www.landlordmax.com\/knowledgeBase\/wp-content\/uploads\/2024\/09\/saveTenant-50x50.png 50w, https:\/\/www.landlordmax.com\/knowledgeBase\/wp-content\/uploads\/2024\/09\/saveTenant-60x60.png 60w, https:\/\/www.landlordmax.com\/knowledgeBase\/wp-content\/uploads\/2024\/09\/saveTenant-100x100.png 100w\" sizes=\"auto, (max-width: 650px) 100vw, 650px\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>** IMPORTANT:<\/strong> Near the bottom of the tenant&#8217;s screen there is a <strong>Status <\/strong>field <img decoding=\"async\" style=\"vertical-align: middle; display: inline-block; width: 20px; height: 20px;\" src=\"https:\/\/www.landlordmax.com\/knowledgeBase\/wp-content\/uploads\/2024\/09\/image-13.png\" alt=\"\">, this field is used to determine the <strong>Tenant&#8217;s status<\/strong>, specifically if the tenant is a current tenant, a past tenant, and so on. Setting the Status to Current tells the software that the Tenant is the currently residing tenant in that Building and\/or Unit. When you are happy with all the information you have entered, click&nbsp;<strong>Save<\/strong>&nbsp;at the bottom of the page as shown in the screenshot below <img loading=\"lazy\" decoding=\"async\" width=\"48\" height=\"48\" class=\"wp-image-304\" style=\"vertical-align: middle; display: inline-block; width: 20px; height: 20px;\" src=\"https:\/\/www.landlordmax.com\/knowledgeBase\/wp-content\/uploads\/2024\/09\/image-15.png\" alt=\"\">. If you then click on the <strong>List<\/strong> button on the top right menu&nbsp;you will return to the main Tenant table which lists all your tenants, which in this case will be just your new Tenant.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>** TIP:<\/strong> The software is very careful about using the Status field for a number of reasons so please do note assume that just because a Tenant has a non-current Status that it may automatically affect other data. A good example of this is if you have to evict a Tenant and change their Status to Evicted, in which case the Lease is not altered in any way. Although the Tenant may have been Evicted the Lease may still be valid. In fact you probably want to keep the official Lease End Date intact, if you go to court you&#8217;ll need the proper Lease End Date and not the date when the Tenant was Evicted. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>** TIP: <\/strong>We also recommend being very careful when accounting reports to NOT use the Status because you could accidentally filter out valid rents and so on. For example you may have Evicted a Tenant and if you only run the accounting reports for Current Tenant&#8217;s then any late rents they have will not appear in your reports as they are no longer Current. You can have similar issues with incoming Tenants that are not yet current with their first rent.
