Change Status of Building

I entered one building as three separate buildings instead of one building with three separate units. How do I change the status of the building and enter the three as units as opposed to buildings? I had already assigned tenants to the buildings. However, I have gone back and assigned the tenants to potential status in order to have no tenant showing up in the building, but it still says I have an entry connected to that in another location and won't let me delete. How can I remedy my problem?

Hi Brenda,

Firstly please note that once a building is created you cannot change it's type, that is you cannot merge three single unit buildings to a multi unit building with 3 units, this needs to be done manually.

As for the message about deleting this is because those buildings are still assigned to other data and you need to un-assign them to be able to delete the old buildings.

In essence LandlordMax has a safety mechanism in it where it will not allow you to delete data that is currently associated with other data because if you did so it would put your database in an unstable state. So for example, let's say one of the buildings you're trying to delete is associated with at least one accounting entry, you cannot delete that building until you delete the associated accounting entry first, or remove the building from the Accounting Entry, assign another building, etc. Once you've done this, you'll be able to delete the building.

Please note that this also includes any accounting entries, scheduled entries, suggested entries workorders, invoices, receipts, leases, etc. As well, as a safety mechanism, before you can delete a building you also need to remove its association to any tenants. To do this, go to the Tenant data entry screen and select the "empty" values for the building/unit.

To facilitate this effort, we generally recommend you first go through the tabbed panels within the building you're trying to delete. From here you can delete the accounting entries, invoices, etc. Afterwards all you need to do is delete the scheduled and suggested entries (as well as unassociated any tenants if you haven't already done so).

I have just uploaded my database to the cloud. It is showing our commercial multi-tenant building as a residential multi-tenant building. To make a new building designated as commercial, it sounds like I would have to delete my whole database as every item is tied to the building. As far as I know, I did not ever designate the building in my desktop edition as a residential multi-tenant building. Could this just be a conversion detail that might be easily corrected?

Hi Chere,

Please note that a multi-unit building in the software is not designated as either a residential or commercial multi-unit building, just that it's a multi-unit building. That is they are treated the same as they tend to store the same information. They both have addresses, prices, units, etc. Commercial and residential tenants are treated differently as they have significant differences in data, but multi-units buildings are treated the same whether they are residential or commercial.

The way you create a building in the software in the Cloud Edition is the same as it was in the Desktop Edition in that you have two options, either the building is a single residence building or it's a multi-unit building. Again you never specify if it's residential or commercial because they are treated the same. In case you're wondering about CAM charges the software doesn't have specific fields for those, if you need those they tend to be managed in the accounting section with some special steps. Solutions that specifically support CAM charges and other more complex requirements for commercial buildings tend to be at least double our price per unit and have monthly minimum starting in the $250-$500/mth because of all the added complexities and costs. And in most cases, especially with simpler commercial properties such as strip malls, small offices, and so on, they can generally be handled in LandlordMax fairly simply without all the added complexities that comes with these more involved features.
