set price per unit

Hi, we are managing bedspaces, much like a dorm. Is there a way to set the price per unit? Currently you input the prices when you add a tenant, correct?

What we would like to happen is that we just input the new tenant's name and move-in/out details...price is already set for the unit she is renting.

We would also like to have a vacancy report showing the available units and prices (which would serve as our pricelist and availability sheet).

Please find the answers to your questions below:

The prices are linked to the lease rather than the unit. This is because in many locations of the world there are rent controls, etc. which can greatly affect how much a unit can rent for, and that amount is directly tied to the tenant more than the unit itself. So for example you could have a tenant that's been with you renting at $500/mth and next month the new tenant will be paying $1500/mth due to rent controls. With that in mind the rent amount is specified on the Lease entry. That being said you can include the rent amount in one of the many fields for the buildings and/or units such as in the Notes tabbed panel or one of the main fields.

I apologize but I'm not sure I understand your question? Are you asking to just use the same tenant record and just change the name? If so then we strongly advise against this. It's very important to keep historical records because you never know if you will need them for a tax audit, a court case, etc. from previous tenants. It's better that the data correctly reflect the actual tenant. Otherwise over the years a tenant could have many many leases but maybe only the last year's lease applies to them, all the others are from old tenants.

The software currently doesn't offer this in a single report. That being said we are (unofficially and therefore this is subject to change) working on greatly improving the reporting section of the software. This isn't to say that this specific report will be available but we are planning to offer much more advanced reporting capabilities in the future.

Mr. Grenier,

I think it would be MOST helpful if a report of available vacancies could be generated. I am looking to purchase this software and that was something I was really hoping for. We have over 300 units and, from time to time, in the hustle and bustle, a vacancy may be left off the list for a while! I really want a way to prevent this from happening.

Hi Melissa,

It's great to hear that you're looking to purchase the software. In terms of vacancy reports we actually have several available in the software today. They include:

List of vacancies
List of vacancies for one building
List of vacancies grouped by building
List of vacancies grouped by building for one landlord

As well we are in the process of pre-releasing our new online and web based Cloud Edition by invite only (it's basically not publicly released yet) which allows you to create your own custom reports, including creating your own custom vacancy reports, so if you need more specific vacancy type reports or you want to select the data (columns), how it's formatted, then the Cloud Edition may be a better option for you. If you're interested in this Edition then please contact our support team and we should be able to invite you to the pre-release of the Cloud Edition. And if the above reports work great for you and you prefer the publicly available Editions then please feel free to go with that Edition as well.
