Vacancy list

I'm just getting to know LL Max so I'm sure this is probably a simple question but, how do I generate a vacancy list?

Hi Amie,

It's great to hear that you're getting to know LandlordMax. You'll also be happy to hear that there is an easy answer to your question. To get a vacancy list what you need to do is go to the Reports section of the software and run one of the available Vacancy reports ("List of vacancies" ...).

Thank you... I saw that on the reports' list. I just don't know how to input the right data to produce the report??

Hi Amie,

You're welcome. The report is generated based on which building and units do not currently have anyone assigned to them. Section 1.1 of the user manual has a good and quick explanation of how to associate data, such as a landlord to a building, a tenant to a unit/building, and so on. You can also find this information in more detail in Sections 4.2 to 4.4 of the user manual.

Thanks. I found out when I put the tenant status to "past" that created the vacancy. However, another question on the vacancy list: I don't see a place for amount of rent being charged per vacant unit. This is standard info on our past vacancy lists. Is there a way to take out, for example the slot for country and put amount of rent??

Sorry didn't mean to post twice! : / Also, instead of putting the address twice how about offering how many bedrooms/baths along with the price and amount of security deposit on the vacancy list?

Hi Amie,

Yes that would explain, if the status is Current then this means the tenant is still residing in the unit. It is possible for a tenant to not have a lease. We do recommend you still create a lease for month to month renters but not everyone does this therefore the software has to rely on the tenant's Status to determine if the unit is vacant or not.

In terms of the rent per unit, this is one of the feature we are planning on adding to the software in the future. The reason we haven't yet done it is that there is surprisingly very little demand for it. That and what we've found in beta testing is that most people just don't update it regularly which causes the data to often be outdated. The other issue we found by doing random surveys is that a lot of renters will adjust the rent based on the tenant. That and a number of other minor reasons I wont' go into detail here, but some include that the rental amount may change based on the tenant's risk profile, etc. In any case this is something we're looking to add to the software in the future.

As for the other items the main requirement we had for all reports is that they fit on a standard sheet of printing paper, which means that you have to be selective as to which columns you can include in a report and still have it fit nicely on a printed sheet of paper. As such we mainly focused on the the identification items for the property, such as the building/unit and the mailing address so that you could export the report to Excel and customize it as you needed.

That being said, and this is unofficial and is subject to change, we're currently in the process of completely overhauling the report section of the software for the next major version. One of the major new benefits of this overhaul is that you will be able to significantly customize the reports. There will of course be some limits but you will be able to do what you're looking for and a lot more if all goes according to plan. The software will provide you with a built-in word processor and you will be able to put placeholders for the values you want. The software will then replace the placeholders with their appropriate values giving you the exact report you want. Again this is unofficial and subject to change but this is what we're currently working on for the next major version. We're currently aiming to have this new major version released before the end of the year.
