Personnel User Type

A question regarding the user type Personnel. I setup a personnel user and then tried to delete entries already made in the accounting section. I was unable to do that as a manager override was prompted which was good. However when i tried to edit the same entry from a $2000 entry to a $0 amount, no manager override was prompted and the entry was modified. Is there a way to make sure that preexisting entries are not modified without a manager override for the personnel user type?

Hi Khurram,

It is not possible to require a manager override when editing an entry within the software.

We initially added a manager override for editing an existing entry but our beta testers quickly asked us to remove this feature because it was annoying and really didn't provide much additional security. Firstly if they can create new entries then it's pretty much the same as editing existing ones. Deleting is different in that someone could be trying to sabotage your records or save a tenant from paying rent, but if they edit such a entry it will quickly become apparent that there is an issue and the damage will be very limited. In other words it will be very obvious that someone is tampering with the data right away.

But getting back to the feedback we received, it was very annoying for our beta testers. It's very easy to make a data entry error. As well if anyone makes a partial payment you would then also require a manager override. Another common example was if the reception person needed to add a comment to the Accounting Entry, which again would require a Manager Override. This could be as simple as a tenant coming in to say they would be paying the rent a few days late. If you had such a request and needed to edit the Accounting Entry for the rent to add a note about this then again you needed a manager override. Basically what we found is that in day to day operations the front desk people needed a manager override a lot more than expected if they couldn't edit existing entries and as a result our beta testers were getting very annoyed and asked us to remove it for editing and limit it deleting and certain other actions. It's a fine balance of what they should and shouldn't be able to access. Too much access and they can do damage and too little access and it becomes very annoying for the manager, and not only that but if a manager is not around the front desk person cannot do their job, as well as how much should you trust the front desk person. Therefore through trial and error testing with beta testers these are the settings we came with based on user feedback.
