Scheduled Entries

Hi.

I am setting up for the 1st time. I am setting up a lease, which then sets up the scheduled entry for rent payments. When I accept, there is not an account auto assigned to the payment, so the landlord does not post. I have to go into each payment to select the account. Only have one and it is defaulting to blank.

Also, What actually is happening when I accept a receipt? Just entry in the record?

Please find the answers to your questions below:

Yes that's correct. This is because at the lease information does not contain any account information which means the software cannot assign an account. We are looking to improve this with a popup dialog when you create a new lease however in the current version yes you do have to edit the Scheduled Entries to include any additional information that is not available in the lease.

2. Also, What actually is happening when I accept a receipt? Just entry in the record?

Receipts should be viewed as legal documents rather than accounting entries for a number of reasons. Firstly you may need to reproduce the receipt if you go to court. As well a receipt could have been paid with a check that later bounces. The same is true if a rent is partially paid over several months, etc. Basically a receipt is no different than say if you go to Home Depot and buy something. The receipt cannot be modified once created and so the accounting data cannot rely on this information. All accounting data should remain in the accounting section and the receipts and invoices should be viewed as editable documents rather than forms. In the more distant future we eventually expect them to be presented as editable documents right in the software rather than as forms.
