Rent Roll Report Problem

(Sorry - I accidentally also posted this in the support area - please disregard that one).

I am running into a problem with the "Rent Roll for a Building" report. With some buildings it lists several tenants twice. On others some tenants are missing from the report no matter what I do.

Is there a way to make sure that those reports are accurate? I'm missing something.

Hi Jeff,

No worries about the accidental post, we'll take care of that.

In terms of the rent roll report this is generated directly from the lease information. Therefore if you're seeing a tenant twice then you need to go to that tenant's lease data and confirm the lease dates are correct. For example we often see people forget to close a previous lease, incorrectly enter the year, and so on, which can result in a tenant incorrectly having two leases at the same time entered in the software. As for the missing rent, then similarly the first step is to confirm that there is a lease for that tenant and that the lease dates are within the rent roll reports start and end dates.

Thanks for the info. Sure enough, some of the lease screens contained bad information so I cleaned them up.

One problem, and I may have mentioned this before - past tenants are showing up in the rent roll reports. Is there a way to filter them out? If not, are there plans to fix this down the road?

Hi Jeff,

You're welcome. It's good to hear you were able to confirm it was bad data.

In terms of past tenants as we've already discussed this several times, and at pretty good lengths, I'm going to leave it as we last left it off if you don't mind. There's no point re-hashing the same thing again.

As for future plans, right now we're very actively working towards a new web and cloud based version. That initial version will have some significant improvements to the software, including the reporting section. For example we're in the process of building in a WYSIWYG template editor for the reports. This means you'll be able to edit the report template directly within the software in a word processor like interface, including the ability to adjust which columns you want displayed and so on. There are other new features, but this is one of the bigger ones.

That being said once the web and cloud version is released we do plan on moving to a continuous update system for this version.

In case you're wondering the current estimate for the release date is early 2016.

In terms of the rent roll report the initial web and cloud version will not include changes such as those you're requesting. Not to re-hash older discussions, there are cases where you will need this. You may not encounter them but some of our other customers do, and if we made this assumption it would cause them to have invalid reports. In your case the only reason these entries are still showing up is that you have not edited the lease information and are relying on that they are no longer current tenant's, but as I've explained there can be times when you have a non-active tenant with a current lease that has rental payments, and editing this kind of functionality to add a convenience for one person can have significant repercussions to another.

And again, do consider that your lease data in the cases you're referring to is incorrect, it should be updated to reflect what's happened.

This is especially true if you in the future you create templated letters (we're planning to greatly expand templating), such as court documents, eviction letters, etc. If your leases are still using the old dates then your legal documents will be completely invalid because they will have the wrong dates and you may not notice this until it's too late!! For example you may want the legal document you take to court to say the lease was terminate on x date but because you're relying on the status, then in your case the termination date would not be the eviction date or so on, but rather it would be the original lease termination date. Something to also keep in mind as to why relying on the status and not adjusting your lease information is not always a good thing.

I was wrong! The rent roll report IS accurate! Is is as accurate as the data that has been entered into the tenant fields. I was sloppy, which is why i was getting bad data in the reports. My fault 100%.

One odd thing, though: If today's date is past the lease end date, that tenant won't show up in the rent roll report even if the move out date field is empty,

I'm not sure if there is a way to fix that for month-to-month tenants if their lease has expired but you want them to show up in the rent roll report.

Not a big thing.

Thank you for confirming the issue, it's appreciated.

In terms of today's date, please note that the rent roll uses the Start and End Date you set on the report and not today's date. Could this be the issue? If not then if you can provide additional details, such as a specific example, I would be happy to assist you.
